Terms of Service

These terms govern your use of RendezView, operated by Samuel Bryce Jones, a sole trader trading as RendezView, contactable at rendezviewhq@gmail.com and 9 Windsor Clive Drive, St Fagans, Cardiff, CF5 6HQ, United Kingdom. By creating an account you agree to them.
1. What RendezView does
RendezView reads enquiries sent to an inbox you connect or forward to us, assesses them against screening criteria you set, drafts replies, and proposes viewing times based on availability you configure. Drafts are held for your approval before being sent, unless you switch on automatic sending yourself.
2. Early access
RendezView is currently provided free of charge during early access. This means:
- The service is under active development and may change without notice.
- Features may be added, altered or withdrawn, and the service may be suspended or discontinued entirely.
- We may begin charging in future. If we do, we will give you notice and you will not be charged without agreeing first.
- There is no guaranteed uptime, support response time, or service level.
3. Your account
Access is by a link sent to your email address; there is no password. Keep access to your email secure — anyone with it can access your account. Tell us promptly if you believe your account has been accessed by someone else.
You must be 18 or over and acting in the course of a business or lettings activity.
4. Your responsibilities when screening people
This is the most important section of these terms. RendezView is a tool that applies criteria you choose. You remain legally responsible for those criteria and for the decisions you take.
You agree that:
- You have a lawful basis for screening prospective tenants, and your own privacy notice tells them their data is processed this way.
- Your screening criteria comply with the Equality Act 2010. Criteria that appear neutral can still be unlawful if they put people sharing a protected characteristic at a disadvantage without objective justification.
- Where the property is in England, your criteria comply with the Renters’ Rights Act 2025, whose main provisions came into force on 1 May 2026. Among other things it prohibits discriminating against prospective tenants because they receive benefits or because they have children.
- You review the drafts and screening outcomes RendezView produces rather than relying on them blindly, and you remain the decision-maker.
- You will not use the service to send unsolicited marketing, or for any unlawful purpose.
An income multiplier, an occupancy limit or a pets rule can each have a discriminatory effect depending on how it is set and applied. We do not review your criteria and cannot advise on whether they are lawful. If you are unsure, take advice before using them.
5. Data protection
For enquiry data we act as your processor and you act as the controller. We process that data only on your documented instructions, keep it confidential, apply appropriate security measures, assist you with data subject requests so far as we reasonably can, and delete it on your request. Our Privacy Policy lists the sub-processors we use.
If your organisation requires a signed data processing agreement under Article 28 of the UK GDPR, contact us and we will put one in place.
6. Accuracy and AI-generated content
RendezView uses automated language models to interpret enquiries and draft replies. These systems can misread information, extract it incorrectly, or produce text that is wrong or inappropriate. Drafts are presented for your approval precisely because they need checking. You are responsible for anything sent from your account.
7. Availability
We do not guarantee that the service will be uninterrupted or error-free, that emails will always be delivered or received, or that calendar synchronisation will always be accurate. Do not rely on RendezView as the only record of a booked viewing.
8. Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited.
Subject to that, and because the service is provided free of charge, we are not liable for loss of profit, loss of business, loss of lettings, loss of data, or any indirect or consequential loss. Our total liability arising from the service is limited to £100.
If you are dealing as a consumer rather than for business purposes, you keep all your statutory rights and nothing here affects them.
9. Ending your use
You can stop using RendezView at any time and ask us to delete your account and data. We may suspend or end your access if you breach these terms, if the service is discontinued, or if we are required to by law.
10. Changes to these terms
We may update these terms as the service develops. We will revise the date at the top and, where the change is material, tell you by email.
11. Governing law
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
